Do I need a Virtual Assistant?
So, you’ve heard about Virtual Assistants, but don’t really know what they do, how they can help you and do you even need one. After all, you have been doing it all yourself since you started the business, so why spend the money on one now?
Ask yourself some simple questions:
- Do I want my business to grow or am I happy with it as it is?
- Do I spend some of my day doing things I don’t really like doing?
- Do I get as much time as I want to really focus on the business?
- How much is my time worth?
That last question is key. When you are using your expertise to do what you set the business up to do, how much does it earn you per hour? Now think about all the things you must do in business that keep you from earning it. Spend a couple of days, maybe even a week, making a note of everything you do. At the end of the time, highlight all the tasks that don’t earn you money. Now add up how many hours you spend on them.
Then ask yourself:
- How many of those tasks could I hand over to a Virtual Assistant?
- How much more could I earn if I did?
- How much time could I save?
Because it’s not always about earning money is it. Time is precious, not only in business but you have other responsibilities too. Whether you have a family or not. Even if you’re single you need time to socialise and do the things you love and enjoy life. That work/life balance isn’t going to sort itself out you know.
Now you have a much better idea of whether you need a Virtual Assistant or not. Finding the right one for you is your next goal. Don’t just choose any, you need one that will fit in with your business, who has the skills you need. Many Virtual Assistants specialise in certain industries, or in particular niches. They have their ideal clients, and you should have your ideal Virtual Assistant.
If you’ve done your homework above, you should know what you need and how many hours you need a week. Don’t be surprised if they have their own set of questions, after all, they too are finding out whether you could work together. They may ask questions like:
- Have you used a VA before?
- How do you currently obtain clients?
- Are you looking to have a VA on an ad-hoc basis, when you have a particular task, or on a more regular basis for day-to-day tasks?
- Do you want support in growing the business and getting more clients?
- Do you want to give existing clients better service?
- Do you need organisational help – calendars/emails etc.
If you’ve come this far and it seems to be going well, then the discussion will probably move to more practical things, for instance
- Cost – Virtual Assistants will know what they are worth. They will be interested to know whether you want them on an ad-hoc basis, paid by the hour, whenever you feel you need them, or more favourably for the both of you, on a regular retainer basis. Many VA’s offer a discount on their hourly rate if you book on a retainer and also you can be assured that they will give your work priority.
- How often would you like updates on their work? Do you want a weekly call with them or contact mostly by email, or monthly? That is up to you to decide what you are most comfortable with.
- Would you like to set them a ‘taster task’ to see how they perform before you make the final decision?
Finally, you need to make the right decision for you and your business. The Virtual Assistant you choose will be working closely with you for the success of your business. Be clear with them what you need from them, they will definitely do the same!
