1 Grievance Policy

 - Ensure you have a policy which is clear and comprehensive that outlines the procedures for employees to follow and ensure all employees are aware of this policy.

2 Open Communication – Build an environment where employees feel comfortable sharing their concerns and encourage them to discuss the issues with their immediate supervisor, if appropriate.

3 Investigate Promptly – Once you have received the grievance, start an investigation promptly. Gather all information, interview all parties and witnesses and document the process.

4 Maintain confidentiality, Conduct fair and impartial investigations – Keep the grievance and the investigation confidential to protect all parties. Ensure that the person responsible for investigating the grievance remains impartial and objective. Avoid any favouritism. 

5 Review Company Policies and agreements – During the investigation, review the relevant policies and any other documents that are relevant to the grievance. 

6 Provide feedback and offer mediation – Keep the employee informed about the progress of the investigation and outcome. Using mediation to help the involved parties to find a mutually agreeable solution. This demonstrates transparency and commitment to resolving the issue.

7 Take corrective action – If the investigation reveals that corrective action is necessary, take appropriate steps to address the issue. This may include disciplinary actions or process improvements. 

8 Follow up – After a resolution has been reached, follow up with the parties involved to ensure that the issue has been resolved satisfactory and there are no further concerns. 

9 Seek External Assistance – In cases where you have not been able to reach a resolution you may want to consider external support from a HR professional.
